Umpire in Chief Tournament Setup Assistance.

Congratulations on being appointed as the UIC for one of the tournaments in the zone.

I can offer the following assistance to help with scheduling your officials as well as working out the cost estimate including accommodation, travel and food (if required)

Some weekends with have up to three tournaments so please meet the deadlines listed below or I will not be able to help you.

I need the following to occur,

  • You should receive a list of umpires from the assignor that are available to you for the tournament.
    • That information will list what level of ball the individual can work (this is in the case of multiple age groups competing)
  • As soon as you can get the diamond schedule for the tournament which will include the name/number of the diamond and the times of games on each diamond. Send the schedule to Pat at least 10 days before the tournament is to start to [email protected]
    • I do not need the teams that are playing, just the diamond and time.
  • Contact each of the individuals and find out the following
    • will they work the tournament
    • what restrictions if any they have on attendance, things like
      • i can’t work Friday
      • i can’t work later than X:XX a.m. or X:XX p.m. as i have to …
    • i will travel with… (for mileage purposes)
    • if the host is supplying accommodation does the umpire need a room?
  • Submit your list of umpires with the restrictions, etc. and i will draw up a schedule no later than Wednesday that you can give to your officials and host committee. it will include
    • A diamond schedule
    • An umpire schedule
    • individualised schedule for each umpire
    • Invoice for the host
    • Payouts for the umpires.

Page 1 – The umpire information you supply (step 3 above)

Page 2 – The complete schedule (step 2 above) plus all the umpire assignments for the tournament

Page 3 – An individualised schedule (where you can check that no one is scheduled on two diamonds at the same time, etc.)

Page 4 to 6 – Costing breakout including all expenses.

Page 7 – invoice for the host committee
